Job Description: Executive Assistant

Position Overview: ShadowMachine is seeking a dedicated, proactive, and detail-oriented Executive Assistant to support the founder/producer of our entertainment industry animation studio. This role requires someone who can wear multiple hats, ensuring professional outreach and communication with important industry contacts and creatives. The ideal candidate will be highly organized, have prior experience as an assistant, and possess strong instinctual soft skills, presenting a personable and professional demeanor. Although animation knowledge is not essential, it would be valued. This is an in-person position based in Los Angeles, with hours from 9-6, Monday through Friday, with occasional exceptions.

Key Responsibilities:

  • General Office Management:
    • Handle general calendar scheduling, setting meetings, organizing project materials, and prepping for meetings/zooms.
    • Provide general entertainment industry research and reporting.
    • Maintain contact lists and talent outreach lists.
    • Manage needs of incoming show producers and general overhead employees on behalf of the producer.
    • Oversee general office and event coordination (light).
    • Handle gift acquisition for our creative partners.
  • Talent and Production Liaison:
    • Serve as the primary point of contact for talent and production partners, addressing any concerns or issues promptly and professionally to maintain strong working relationships.
  • Script Evaluation:
    • Review and evaluate scripts across various genres, providing comprehensive coverage on storyline coherence, character development, dialogue, and market potential.
  • Episode Breakdown Creation:
    • Develop detailed episode breakdowns to support the production and creative processes.
  • Research and Development:
    • Conduct thorough research on writers, directors, artists, and potential projects to identify new opportunities and talent.
  • Intern Management:
    • Oversee the development intern, including designing and facilitating projects and a comprehensive orientation session to equip the intern with essential information about company culture, policies, and expectations.
  • Operational Support:
    • Lead the integration of new program tools and solutions into daily workflows, optimizing operational efficiency and enhancing overall productivity.
    • Provide assistance to other departments and team members when necessary, ensuring smooth operations and collaboration across the company.
    • Keep up to date with VO records occurring in the studio.
    • Monitor various calendars including conference rooms, travel, and vacation, etc. to be fully aware of ongoing events.
    • Work closely with the Portland office to ensure smooth collaboration between the two locations.

Qualifications:

  • Proven experience as an assistant, with the ability to juggle multiple calendars and schedule efficiently and effectively.
  • Must have great efficiency using Google Sheets with great organizational skills.
  • Strong communication and interpersonal skills to effectively manage relationships.
  • Proven experience in script evaluation, with the ability to provide detailed and constructive feedback.
  • Excellent research skills to identify new talent and project opportunities.
  • Experience in managing interns or junior staff, with a focus on mentorship and professional development.
  • A proactive approach to integrating technology and innovative solutions into workflows.
  • A passion for storytelling and a deep understanding of the entertainment industry.
  • Ability to maintain a positive, collaborative, and professional work environment.

Preferred Skills:

  • Proficiency in Excel, Google Suite, PowerPoint, Photoshop, and other relevant tools.
  • Familiarity with various genres and current market trends.
  • Strong organizational skills and attention to detail.

Compensation and Benefits:

  • Salary: $65,000-$74,000 per year.
  • Vacation: 3-4 weeks off, including 2 weeks at Christmas, 1 week at Thanksgiving, and 1 week around the 4th of July (exact dates to be confirmed).
